The Story

Reynolds & Reynolds, a global leader in automotive dealership software and business forms, faced significant manual bottlenecks in their high-volume form design process. Clavis Tech engineered Form XT, a sophisticated QuarkXPress XT (extension), to automate complex design elements—from high-speed coordinate entry to security pantographs—transforming a labor-intensive workflow into a high-speed digital production line. 

The result was a dramatic increase in design productivity, error reduction in compliance-heavy forms, and a modernized toolkit for their design team.

The Challenge

As a powerhouse in the automotive retail industry, Reynolds & Reynolds provides retail management systems that keep dealerships running. A critical part of their value proposition is the manufacture and distribution of business forms that meet strict regulatory compliances and operational requirements.

The creation of these specialized forms—often involving complex grids, repeated rules, and intricate security features— was a cumbersome manual process. Legacy design methods required designers to manually “step & repeat” individual items and rely on old bit-mapped frames. These methods were not only slow but lacked the precision and scalability required for modern high-resolution printing.

Without a scalable automation solution, Reynolds & Reynolds faced escalating labor costs, slower time-to-market, and the high-stakes risk of compliance failures driven by manual errors in precision-critical documents.

The Solution

Clavis Tech was chosen for its deep expertise in the QuarkXPress XT development, coupled with a proven track record of developing high-quality plugins for the media and publishing industries. Our approach began with a comprehensive Analysis Phase to map out the specific design maneuvers that consumed the most time.

Leveraging the Agile framework, we executed the project in iterative sprints, providing Reynolds & Reynolds with incremental builds. This methodology allowed their design team to test the plugin in real-world scenarios and provide continuous feedback, ensuring the final Form XT solution was perfectly aligned with their high-precision workflow and specific dealership requirements.

Precision-Based Layout Design:
We implemented Box and Line Creation modes, allowing designers to build forms rapidly by typing in exact coordinates and dimensions rather than relying on manual, eyeballed placement.

Security & Compliance Automation:
Developed custom Pantograph and Blockout tools to automatically generate complex security backgrounds and patterns for checks and certificates directly within QuarkXPress.

Dynamic Layout Tools:
Created a “Split Box” feature to instantly break large boxes into precise rows and columns, and a “Rules” engine to generate areas of contiguous horizontal or vertical lines at specific intervals.

High-Resolution Check Borders:
Replaced old bit-mapped frames with PostScript check borders that print at the full resolution of the device and maintain integrity even when boxes are resized.

Anti-Counterfeit Microtext:
Enabled the creation of microtext down to 0.5 pt, which can be dynamically attached to any shape, text path, or box for enhanced security.
