Pearson, a global leader in education and publishing, faced a critical bottleneck in its production department where manual data entry for each book catalog consumed over an hour of professional time.
By partnering with Clavis Tech, Pearson implemented a custom QuarkXPress XTension that automates the transition from Excel data to print-ready layouts. The result is a streamlined workflow that eliminates manual “copy-paste” errors and empowers creative teams to deliver high-quality catalogs in a fraction of the original time.
The Challenge
As a dominant force in the global publishing market, Pearson manages a massive volume of titles across various importance levels, from “Super Key” highlights to “Mid-list” entries. However, their production team was tethered to a legacy workflow characterized by heavy reliance on cutting and pasting text from Excel spreadsheets and disparate data repositories. This manual insertion of cover images and repetitive formatting of titles and author names meant that creating or approving a single catalog report was an arduous, multi-hour task.
The friction was more than just a matter of lost time; it created a high degree of manual effort that made last-minute changes prohibitively expensive and time-consuming. If left unaddressed, the lack of scalability in their publishing process threatened Pearson’s ability to respond to market shifts, risking delayed product launches, and increased operational overhead.

The Solution
Clavis Tech addressed the problem by digging deep into Pearson’s existing templates and data structures. Recognizing that a one-size-fits- all tool wouldn’t suffice, we proposed a custom-built XTension for QuarkXPress, designed to bridge the gap between Excel data sources and creative templates.
Our strategy centered on intelligent automation—mapping specific Excel columns to pre-defined style sheets so that font sizes, image placements, and Subject/Sub-heading hierarchies are applied instantly upon import.

Automated template mapping: Directly maps Excel rows to three page types—Super Key, Key, and Mid-list titles—ensuring the right layout is applied automatically based on title priority.
Dynamic image integration: Uses unique ISBN identifiers to automatically import and place JPG cover images from designated folders, eliminating manual resizing issues for odd shapes.
Column-based stylesheet sync: Automatically updates style sheets on a column basis, ensuring titles and author names maintain standard formatting and brand consistency without manual intervention.
Manual layout flexibility: Provides the option to manually add pages or adjust layouts after the data merge is complete, allowing for bespoke creative tweaks whenever necessary.
Future-proof specifications: Enables Pearson to manually amend program specifications, such as font sizes or text placement, ensuring the tool evolves with changing design standards.
