In the global supply chain, the Bill of Lading (BoL) is the most critical document—and the most frequent bottleneck. For a global logistics leader, processing thousands of non-standardized, multi-language BoLs every day was a massive operational burden. 

Clavis Tech engineered a high-performance AI-driven automation platform that ‘reads’ and understands shipping documents. By moving from manual transcription to automated data extraction, we’ve enabled the client to clear cargo faster, reduce demurrage costs, and provide real-time visibility to their global customers.

The Challenge

The primary obstacle was document variability for a global logistics leader. No two shipping lines use the exact same BoL format. Data points like Container Numbers, Seal Numbers, Port of Loading, and Commodity Descriptions are scattered across different layouts, often in low-quality scans or handwritten notations. 

The client’s team of data entry specialists was struggling with ‘Information Overload.’ Manually typing this data into their ERP system was slow and prone to ‘Transposition Errors’—where a single mistyped digit in a container number could lead to a shipment being ‘lost’ at a port or stuck in customs. During peak shipping seasons, the backlog of unprocessed documents led to significant delays in invoicing and port clearances, costing the company thousands in daily operational inefficiencies.

The Solution

Clavis Tech deployed an Intelligent Document Processing (IDP) solution specifically tuned for the maritime industry. Our roadmap focused on ‘Contextual Extraction.’ Unlike standard OCR that merely recognizes text, our AI uses Natural Language Processing (NLP) to understand the relationship between fields, identifying the ‘Shipper’ vs. the ‘Consignee’ regardless of where they appear on the page.

We implemented a Continuous Learning Loop where the system improves its accuracy with every document processed. We integrated this engine directly with the client’s existing Oracle-based ERP, ensuring that once a BoL is scanned, the data is validated and pushed to the system in seconds. We also built a ‘Human-in-the-Loop’ (HITL) dashboard, where the AI flags low-confidence characters (like blurry handwriting) for a quick 5-second human verification, ensuring near-perfect data integrity.

Solution delivered:

  • Advanced AI/ML classification: Developed models to automatically recognize and categorize MBLs vs. HBLs and identify specific data fields across hundreds of unique layouts.  
  • AI-first OCR engine: Engineered to handle skewed, low-resolution, and multi-page BoLs with high-fidelity text extraction. 
  • Intelligent field mapping: Utilized NLP to automatically identify and extract over 40 critical data points (Port of Discharge, Weight, HTS Codes, etc.). 
  • Automated validation logic: Built-in checksum verification for Container and Seal numbers to catch errors before they enter the ERP. 
  • Multi-language support: Enabled the system to process documentation in multiple languages, supporting global trade routes. 
  • Secure cloud integration: Developed a RESTful API to sync validated data directly into the client’s central logistics management system. 
  • Human-in-the-loop (HITL) dashboard: A high-speed interface for manual verification of ‘exception’ cases, ensuring 100% data reliability.
