The Story

In the recruitment world, ‘trust but verify’ is the golden rule—but the verify part is usually a logistical nightmare of phone tag and manual follow-ups. RefCheck Xperts partnered with Clavis Tech to digitize the traditional reference check. We built a sophisticated, web-based platform that automates the entire outreach and response lifecycle.

By replacing manual calls with intelligent, secure digital workflows, RefCheck Xperts has transformed a slow, high-friction process into a sleek, data-driven engine that helps companies hire with confidence in record time.

The Challenge

The traditional reference check process was fundamentally broken. For RefCheck Xperts, the ‘Old Way’ involved HR teams manually calling former managers, leaving voicemails, and transcribing subjective notes. This led to massive ‘Turnaround Time (TAT) Bloat,’ where a great candidate could be lost to a competitor simply because a previous employer hadn’t returned a call.

Furthermore, manual checks were vulnerable to fraud. There was no way to verify if a reference was truly who they claimed to be or if a candidate was simply providing a friend’s number. The business needed a way to scale their verification volume without an army of callers, while simultaneously introducing technical safeguards to ensure the integrity of every ‘vouch.’

The Solution

Clavis Tech engineered the RefCheck Xperts Platform, a SaaS solution designed to handle the heavy lifting of background screening. Our roadmap focused on ‘Frictionless Outreach.’ Instead of phone calls, the system uses automated, multi-channel triggers (Email/SMS) to reach references at their convenience.

To combat fraud, we integrated Geographical and IP Tracking. If a candidate and their ‘reference’ submit forms from the same IP address or location within a suspicious timeframe, the system flags it instantly. This ‘security-first’ approach turned a standard questionnaire into a high-integrity verification tool.
