Clavis Tech partnered with Zoom Insurance to develop a comprehensive online policy portal that streamlined workflows between the broker, head offices, and branches. The resulting solution transformed their claim management into a synchronized digital operation, providing instant access to MIS reports and automated tracking for over 80,000 claims.
The Challenge
Zoom Insurance Brokers operates in a high-stakes environment where the efficient processing of insurance claims is critical to maintaining trust for millions of policyholders. Previously, the firm relied on cumbersome manual processes and legacy communication methods to coordinate between head offices (HO) and their 2,148 respective branches. This fragmentation created significant roadblocks, as there was no centralized repository to track policy validity, family details, or claim history in real-time across their Pan-India footprint.
Without a unified digital system, the risk of data silos and processing errors was high. If a claim was rejected, the rework process was slow and lacked transparency, leading to potential loss of client satisfaction and revenue. Zoom Insurance needed to break these boundaries to ensure they could scale their operations to support 10 million insured lives without compromising the speed or accuracy of their service delivery.
The Solution
Clavis Tech proposed a strategic roadmap focused on building a multi-tier architecture to map the intricate workflows of the Broker, HO, and Branch users. We utilized an Agile methodology to ensure the solution was built iteratively, allowing Zoom Insurance to review progress through regular sprint builds and provide feedback before final deployment.
The system was designed to synchronize three distinct roles. The Broker Admin manages the entire ecosystem and bulk data; Head Offices (HO) review and approve or reject claims submitted by their teams; and Branches initiate claims by uploading documents and tracking progress until completion. This hierarchy ensures that every claim follows a strictly governed digital trail from submission to final approval.

- Multi-tier access control: A secure system where Broker Admins manage users/data, HOs oversee and approve branch submissions, and Branches initiate claims with document uploads. This structured hierarchy ensures data integrity and clear accountability across all organizational levels.
- Automated claim workflow: A digital submission engine that automates the claim lifecycle. Branches intimate claims, while HOs process them through an approval/rejection interface. The system provides instant status updates, eliminating the need for manual follow-ups or fragmented emails.
- Bulk data management: High-speed processing of insurer data through automated Excel/CSV uploads. The portal handles large volumes of policy numbers, validity dates, and beneficiary details, ensuring the central database is always populated with accurate, up-to-date information.
- Unified document repository: A smart file handling system that automatically merges multiple uploaded claim documents into a single, high-quality PDF for every case. This simplifies record-keeping and allows stakeholders to download comprehensive case files with a single click.
- Real-time MIS engine: An advanced reporting tool that generates instant insights into business performance. Users can filter data to view pending, approved, or rejected cases by HO or specific branch, enabling data-driven decision-making for the management team.
